Position Summary: The Compliance Analyst is responsible for reviewing and classifying all reported MLS violations. The Analyst uses CRMLS software to investigate reports and monitor all stages of the violation, warning, and citation case, notates all correspondence and activity throughout the various stages of the case, and facilitates the collection of fines. The Analyst interacts with CRMLS subscribers by online chat, email, and occasionally by phone and investigates, tracks, and follows up on cases and questions related thereto. The Analyst works within the Compliance Team in a collaborative effort to manage and process a high volume of reports and is a vital part of CRMLS’ operation and purpose.
Duties & Responsibilities:
- High-level knowledge of the CRMLS violation processing/case management software
- High-level knowledge of the CRMLS Rules and Regulations and Citation Policy
- Understanding and familiarity with CRMLS’ MLS software
- Classify and process all reported violations assigned to the employee
- Exercise independent judgment and make prudent decisions on the classification of reported violations
- Conduct reasonable and thorough investigations of all reported violations
- Process incoming chat requests and inquiries effectively
- Communicate effectively and professionally with subscribers regarding violations and all manner of Compliance related issues
- Document all reported violations accurately and with proper information in the CRMLS software
- Follow established protocols, policies, and procedures in exercising duties
- Timely follow-up on all subscriber communications
- Timely resolution of service tickets assigned to the Compliance Department
- Collaborate with other Compliance Team members on individual and collective cases
- Collaborate with the Customer Care Department or other CRMLS Departments as necessary to work and resolve cases or as otherwise instructed
- Provide attentive and effective customer care to Association/Board of Realtors staff
- Be professional, polite, and courteous with subscribers in all contacts via email and phone and all communications otherwise
- Collaborate effectively with Lead Compliance Analysts and all levels of management
Qualifications:
- Strong Customer Service Skills
- General familiarity with the real estate industry (preferred)
- Ability to use independent judgment and apply analytical skills to a variety of circumstances and fact patterns
- Ability to use internet-based software
- Experience with Word or Excel
- Ability to write clearly and with proper grammar
- Ability to effectively work in a team environment as well as a strong ability to self-manage and operate independently to manage a high-volume workload
Requirements:
- Passing grade on an analytical test following the in-person interview
The Compliance Analyst’s Roadmap
Within one month, a successful candidate will
- Familiarize themselves with the CRMLS Rules & Regulations, CRMLS Citation Policy, and CRMLS Compliance Policies & Procedures manual.
- Investigate basic reports of potential violations, issuing Warning Notices, Citation Notices, and other communication via email.
- Conceptualize ideas and processes, then apply them to related investigations.
- Navigate without assistance through various programs to complete the duties assigned, including but not limited to, Salesforce, Outlook, various MLS Platforms, Excel, Microsoft Word, Microsoft Teams, and Zoom.
Within 2-3 months, a successful candidate will:
- Take initiative and be a self-starter.
- Communicate with Agents, Brokers, and Association Staff via an internal chat system.
- Process more complex investigations.
- Have a significant understanding of the CRMLS Rules & Regulations, CRMLS Citation Policy, and CRMLS Compliance Policies & Procedures.
- Efficiently and effectively manage a busy workload with little to no assistance.
- Communicate with Agents, Brokers, and Association staff via Outlook.
- Complete investigations with little or no assistance.
- Obtain the necessary documentation to complete an investigation.
- Work on a special project as directed.
Within 1-2 years of their start date, a successful Compliance Analyst will:
- Gain extensive knowledge within the MLS and the Real Estate field.
- Consistently maintain an above-average monthly productivity rate.
- Be considered for promotion within the Department.
- Be considered for lateral non-analyst positions within the Department.
